What type of information do we collect?

We collect personal identification data:

Name, email, address, telephone number

We collect financial information if we buy a service from you or are contracted to deliver a service for you.

We collect your opinions and comments if you submit them to us voluntarily

How do we collect your data?

We get information when you directly provide us with information

You may do this by

  • Directly contacting us

  • Voluntarily completing online surveys and questionnaires

  • Providing feedback through our website or social media

  • Invoicing us or submitting quotes and invoices for services

How will we use this data?

 We collect your data so that we can

  • Respond to your emails

  • Monitor our services for quality and service

  • Email you information about our other products and services

  • Manage your account and process contracts and invoices

We may use anonymous data from surveys, questionnaires and other feedback to promote the work that we do, share information with funders and other interested partners.

We anonymise data by removing names and personal details, we may also change details of locations, projects or other things that we think have a potential to increase the risk of identification.

Third Parties

We may at times need to share personal data with third parties.

This includes

  • Our accountant

  • Our bank

  • Funders and grant givers

  • Government bodies such as Inland Revenue if we are requested to do so

Lawful Basis

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information are:

  • Your consent. You can remove your consent at any time. You can do this by contacting lesley@ubiqarts.org

  • We have a contractual obligation.

  • We have a legitimate interest.

How we store your information

  • We securely store your data online within the UK and have access controls in place to stop any unauthorised activity.

  • We keep personal data for the minimum possible time needed for each purpose.

  • Personal data from surveys and questionnaires will be destroyed within 1 year

  • Financial data will be kept for a maximum of five years to satisfy UK tax requirements

  • Contact details will be kept for as long as you wish to stay in touch with us. You can ask us to remove your details at anytime by contacting lesley@ubiqarts.org

Your data protection rights:

You are entitled to

  • Know when we are processing your data

  • See the data we process about you

  • Correct any information

  • Object to processing

  • Ask for the information to be destroyed

  • Withdraw consent where this has been provided

 

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.

  • Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.

  • Your right to object to processing - You have the the right to object to the processing of your personal data in certain circumstances.

  • Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
